All individuals participating in or attending any OMW or Bear Jamboree event are expected to comply with this Event Code of Conduct & Safety Policy.
Failure to comply with this policy may result in removal from the event without refund and potential exclusion from future events.
I. PURPOSE
The purpose of this policy is to ensure that all participants can enjoy a safe, welcoming, and respectful environment during One Magical Weekend and Bear Jamboree events. This policy establishes behavioral expectations and outlines safety procedures designed to protect all attendees and event personnel.
II. SCOPE

All attendees are expected to conduct themselves in a respectful and responsible manner at all times.

Attendees assume responsibility for their personal conduct and safety while attending the event. To the fullest extent permitted by law, One Magical Weekend shall not be liable for injuries, damages, or losses arising from attendee conduct or circumstances beyond the organization’s reasonable control.

HOTEL TERMS AND CONDITIONS
One Magical Weekend & Bear Jamboree

These Hotel Terms and Conditions (“Terms”) govern hotel room reservations made through One Magical Weekend, LLC, including its affiliated events, Bear Jamboree, and related programming (collectively referred to as “OMW,” “we,” “our,” or “the Event”).
By reserving hotel accommodations through the official One Magical Weekend hotel program, you acknowledge that you have read, understood, and agree to these Terms.
I. ADVANCE PAYMENT REQUIREMENT
All hotel reservations require advance payment in order to secure a booking. Reservations made on or after April 1 will require full payment at the time of booking. Reservations are not considered confirmed until payment has been successfully processed. OMW and Bear Jamboree reserves the right to cancel or release any reservation for which payment cannot be processed or verified.
II. MINIMUM STAY REQUIREMENT
Participation in the official One Magical Weekend and Bear Jamboree hotel program requires a minimum stay of three (3) nights. All hotel reservations must include the following nights of the event weekend:
• Friday night
• Saturday night
• Sunday night
Minimum stay schedule:
Check-in: Friday afternoon/evening
Check-out: Monday morning
Reservations that do not include the required minimum nights may be subject to cancellation or modification by OMW or Bear Jamboree.
III. EXTENDED STAY OPTIONS
Special event room rates may be available for additional nights surrounding the event weekend. Guests may book extended stays before and after the required event dates, typically beginning the Monday prior to the event and ending the Tuesday following the event weekend, subject to hotel availability. Extended stays allow guests to enjoy the host hotel property and amenities beyond the official event weekend. Availability of extended nights is limited and may vary by property.
IV. THERAPY POOL PARTY ACCESS
Each hotel room reservation includes two (2) Therapy Pool Party wristbands per day for the following event days:
• Friday
• Saturday
• Sunday
Additional daily or weekend Therapy Pool Party wristbands may be purchased separately through the official event website or onsite at the event Welcome Center, subject to availability. Wristbands are non-transferable and must be worn at all times during entry to the event. Lost or damaged wristbands may not be replaced.
V. CANCELLATION POLICY
All cancellation requests must be submitted in writing.
Cancellation requests should be sent to:
Once a cancellation request is received, OMW or Bear Jamboree will provide a cancellation authorization form that must be completed and returned before any refund request can be processed.
The following cancellation schedule applies:
• Before February 15: $100 processing fee
• February 15 – March 14: $100 processing fee plus one (1) night room charge • March 15 – April 14: $100 processing fee plus two (2) nights room charge • On or after April 15: No refunds will be issued
Processing fees are non-refundable.
Refunds, when applicable, will be processed in accordance with the timeline and procedures established by OMW, Bear Jamboree, and the participating hotel.
VI. HOTEL PARTICIPATION AND ROOM ALLOCATION
Hotel accommodations offered through the One Magical Weekend and Bear Jamboree room program are provided through participating hotel partners. Room assignments, room types, and specific room locations are determined by the hotel property and are subject to availability. OMW and Bear Jamboree do not guarantee specific room views, locations, or layouts. Hotels reserve the right to substitute comparable accommodations if necessary.
VII. EVENT WRISTBANDS AND HOTEL ACCESS
Certain event activities may take place at official host hotels. Access to event areas may require valid event credentials or wristbands.
Guests must comply with:
• hotel policies
• venue rules
• event safety policies
• the Event Code of Conduct
Failure to comply may result in removal from event areas or revocation of event access.
VIII. MODIFICATIONS TO RESERVATIONS
Reservation changes, including date adjustments or guest name changes, may be permitted subject to availability and approval by OMW, Bear Jamboree, and the participating hotel. Additional fees may apply. OMW and Bear Jamboree reserves the right to deny reservation modifications that conflict with the event’s minimum stay requirements.
IX. EVENT CHANGES OR FORCE MAJEURE
OMW reserves the right to modify event schedules, programming, or venue arrangements if necessary due to circumstances beyond reasonable control, including but not limited to:
• weather conditions
• public safety concerns
• government regulations
• venue availability
• force majeure events
Such changes shall not constitute grounds for cancellation or refund of hotel reservations except where required by law.
X. PRIVACY AND COMMUNICATIONS
By booking accommodations through the official One Magical Weekend and Bear Jamboree hotel program, you consent to receive event-related communications, including:
• reservation confirmations
• event updates
• logistical information
• promotional newsletters

TICKETING TERMS AND CONDITIONS

These Ticketing Terms and Conditions (“Terms”) govern the purchase, possession, and use of tickets for One Magical Weekend and its affiliated events, including Bear Jamboree (collectively referred to as “OMW,” “Issuer,” “we,” “our,” or “the Event”). By purchasing, accepting, possessing, or using an event ticket (“Ticket”), you acknowledge that you have read, understood, and agree to be legally bound by these Terms.
If you do not agree with these Terms, do not purchase or use a Ticket and do not attend the Event.
I. REVOCABLE LICENSE
Each Ticket constitutes a revocable license issued by One Magical Weekend and Bear Jamboree for the sole purpose of attending the Event at the designated venue (“Venue”). OMW and Bear Jamboree reserves the right to revoke this license at any time for violation of event policies, venue rules, or applicable laws.
Revocation of a ticket license may result in denial of entry or removal from the Event without refund.
II. AUTHORIZED TICKET SOURCES
Tickets should be purchased only through authorized ticket vendors and official OMW and Bear Jamboree sales channels.
Tickets obtained from unauthorized sources may be:
• lost
• stolen
• counterfeit
• invalid or void
OMW and Bear Jamboree assume no responsibility for tickets purchased through unauthorized sellers, and such tickets may be refused at entry.
III. LOST, STOLEN, OR DAMAGED TICKETS
OMW and Bear Jambore are not responsible for tickets that are lost, stolen, destroyed, or damaged after purchase. Once tickets are delivered to the purchaser, all risk of loss transfers to the purchaser Replacement tickets may be issued only at the discretion of the ticketing provider or event organizer.
IV. TICKET SALES AND REFUND POLICY
All ticket sales are final.
Tickets are non-refundable and non-exchangeable, except where required by applicable law or where OMW and Bear Jambore expressly determine otherwise.
The Event is conducted rain or shine.
Refunds will not be issued due to:
• weather conditions
• artist lineup changes
• performance delays
• venue capacity restrictions
• partial event interruptions
Service fees, processing fees, shipping charges, and administrative fees are non-refundable under all circumstances.
V. EVENT MODIFICATIONS OR CANCELLATION
OMW and Bear Jambore reserves the right to modify event details at any time, including:
• event schedules
• venue locations
• artist or entertainment lineup
• programming and event experiences
If the Event is canceled in its entirety, OMW and Bear Jambore may, at its sole discretion:
• issue a full or partial refund of the ticket face value
• reschedule the Event for a future date
• offer a comparable event experience
If the Event is rescheduled, tickets may remain valid for the new date, and refunds may not be issued. OMW and Bear Jambore are not responsible for travel costs, hotel reservations, or other expenses incurred by attendees.
VI. FORCE MAJEURE
OMW and Bear Jambore shall not be liable for cancellation, postponement, or interruption of the Event due to circumstances beyond its reasonable control, including but not limited to:
• natural disasters
• severe weather
• governmental actions or regulations
• public health emergencies
• labor disputes or strikes
• security concerns
• venue restrictions
Under such circumstances, refund decisions will be made at OMW's sole discretion.
VII. IDENTIFICATION AND AGE VERIFICATION
Valid government-issued photo identification may be required for entry to the event.
OMW and Bear Jambore reserves the right to verify identification and deny entry to any individual who fails to provide valid identification. Certain event areas or activities may have additional age restrictions in accordance with venue or local regulations.
VIII. SECURITY SCREENING
For the safety and security of all attendees, OMW, Bear Jambore, and venue personnel reserve the right to conduct security screenings at entry points.
Attendees may be subject to:
• bag inspections
• security wanding or screening
• verification of identification
• confiscation of prohibited items
By entering the Event, you consent to such security measures.
Possession of prohibited items, illegal substances, or weapons may result in immediate removal from the Event and potential referral to law enforcement.
IX. PERSONAL CONDUCT
All attendees must comply with the OMW and Bear Jambore Event Code of Conduct and Safety Policy.
Prohibited conduct includes, but is not limited to:
• harassment or discrimination
• violence or threatening behavior
• illegal drug possession or use
• disorderly or disruptive conduct
• violation of venue policies
OMW and Bear Jamboree reserve the right to deny entry or remove any individual who violates event policies without a refund.
X. ASSUMPTION OF RISK
Attendance at large public events involves inherent risks.
By attending the Event, you voluntarily assume all risks associated with participation, including but not limited to:
• loud music and amplified sound
• strobe lights and visual effects
• crowds and physical movement
• weather conditions
• interaction with other attendees
You assume full responsibility for your personal safety and belongings while attending the Event.
XI. LIMITATION OF LIABILITY
To the fullest extent permitted by law, One Magical Weekend, Bear Jambore, its affiliates, sponsors, partners, artists, venues, and event personnel shall not be liable for:
• personal injury
• property damage or loss
• theft or misplaced belongings
• indirect or consequential damages
This limitation applies regardless of whether such damages arise before, during, or after the Event.
XII. MEDIA RELEASE
By attending the Event, you acknowledge and agree that photographs, video recordings, and other media may be captured during the Event.
You grant One Magical Weekend and Bear Jambore and its authorized partners the irrevocable right to use your image, voice, likeness, or appearance in photographs, video recordings, promotional materials, and media productions for marketing, promotional, or commercial purposes without compensation.
OMW and Bear Jambore shall retain exclusive ownership of such media content.
XIII. DRUG AND PROHIBITED ITEMS POLICY
OMW and Bear Jamboree maintains a zero-tolerance policy for illegal drugs and prohibited substances.
The possession or use of illegal substances, weapons, or prohibited items may result in:
• confiscation of the prohibited item
• immediate removal from the Event
• denial of future event access
• referral to law enforcement
XIV. PRIVACY AND COMMUNICATIONS
By purchasing a ticket or registering for the Event, you consent to receive communications from OMW and Bear Jamboree, including:

• the applicable rules of the American Arbitration Association (AAA)
The parties agree to waive their right to trial by judge or jury and agree not to participate in any class action or class arbitration proceeding.
Prior to arbitration, the parties shall first attempt to resolve disputes through informal negotiation or non-binding mediation.
